The Exhibitions Production Project Coordinator collaborates closely with the Exhibitions Production Director, Managers, and Supervisors to support projects across the spectrum of the Field Museum’s program offerings, including safety, department process, record keeping, and small project organization.
Duties and Responsibilities:
Assist Production Managers and Supervisors in all aspects of exhibition production organization.
Create presentations, coordinate and document meetings, archive physical and digital project documents, host museum colleagues, and perform additional duties as needed.
Provide administrative support to the department. Coordinate large meetings, collect mail, order supplies, maintain departmental phone lists and bulletin boards, and perform other activities as needed.
Schedule shop cleaning and organization program.
Register new vendors in FM vendor database.
Coordinate departmental staff travel, as needed.
Keep Google calendars updated, and assist in scheduling meetings.
Be willing to assist with limited physical work, when needed.
Update and maintain Production schedule and milestones for all projects pulling from Project Management schedules.
Photo organization and upload to Filemaker pro for mount shop needs.
Occasional: Radio inventory and upkeep, Lift maintenance, Safety supplies and equipment, tool tracking, equipment tracking, supplies tracking and ordering
Qualifications:
Bachelor’s degree or an equivalent level of education and experience is required.
Interest in the humanities and/or STEM is required.
A minimum of two years of experience in a museum or similar field (such as a nonprofit or community organization) is required.
Well-developed organizational skills, including the ability to work on multiple projects simultaneously, set and manage priorities, and meet deadlines.
Must be able to lift 50lbs
