Events and Programs Coordinator

Department: Institutional Advancement
Location: Chicago, IL

The Field Museum is searching for an Events & Programs Coordinator to join our team!

Coordinate the logistics for Advancement events and programs, ranging from small meetings to large-scale dinners and receptions. The Events & Programs Coordinator will actively engage with the fundraising team and staff members in the Advancement Department to gather their valuable input for creating impactful meetings and events. These initiatives will play a crucial role in achieving the fundraising goals that are aligned with the Museum's strategic plan.

Duties and Responsibilities:

  • Work closely with external vendors to ensure the success of each event, including catering, equipment and linen rental, audio-visual services, decor, and parking arrangements Coordinate in-house services through various Museum departments
  • Work closely with Institutional Advancement staff to execute meetings and events for donors of all levels
  • Provide pre and post-event planning, including vendor orders, requesting proposals, data management and event communications, creating floor plans, and bill pay
  • Provide on-site management of events
  • Assist with office projects as needed
  • Evening and weekend hours are required
  • On-site work is required, with some flexibility for remote work

Qualifications:

  • Some experience in event planning and management strongly preferred. Experience in large-scale event management (400+ attendees) a plus. This would include planning and managing large dinner parties, cocktail parties, lunches, and business meetings
  • The ideal candidate must have strong organizational skills, with the ability to multi-task in a fast-paced environment or event set-up
  • The candidate must have strong attention to detail
  • The candidate must be able to successfully work as part of a team by pursuing self-directed projects and activities that contribute to the larger success
  • The candidate must be able to adapt quickly to changing situations
