Essential Function and Responsibility

The Field Trip Administrator is responsible for supporting field trip experiences for Illinois Pre-K-12th grade students through logistical and operational planning, creating lessons and activities for students, supporting educators through development of customized experiences, and marketing. The Field Trips Administrator sits in the Sue Gin Ling Center for Education and Public Programs and reports to the Field Trips Manager. They work closely with the Public Programs team, Family Programs team, the Education Program Assistants, other field trips staff, as well as the Visitor Services Department. The position is responsible for the development, modification, and implementation of field trip classes and field trip in-gallery experiences, as well as field trip planning with teachers, field trip welcoming process, and supporting all aspects of field trips for all Illinois Pre-K-12th grade student groups that visit the museum on field trips.

Duties and Responsibilities

Coordinate field trips for Pre-K-12th grade Illinois students including:

Operations

  1. Coordinate field trip daily logistics and direct any concerns to appropriate staff.

  2. Serve as point person for daily programming and activity schedules for the Museum based on school visit details.

  3. Coordinate and assist with field trip check-in, lunch, and coat check logistics.

  4. Respond to educator inquiries, providing accurate information, resources, and guidance.

  5. Communicate promptly with internal team to confirm information, ensure alignment, and maintain accurate field trip coordination.

  6. Assess and coordinate all field trip resource needs, including space, materials, and staffing to ensure seamless program execution.

  7. Partner with educators to design and plan field trips, including developing personalized schedules and customized lesson experiences for student groups.

  8. Coordinate and support special requests, classes, and guided tours to ensure alignment with program goals.

  9. Collaborate with multiple stakeholders within the museum to develop and facilitate field trip procedures.

  10. Contribute to field trip development meetings by providing logistical insights and creative recommendations to streamline the process and create more field trip opportunities.

  11. Monitor, care for, maintain, and safely store items, specimens, and materials used for operations and programming.

  12. Manage inventory of field trip supplies, including ordering, tracking, replenishing, and communicating updates to relevant stakeholders.

Planning/Development

  1. Develop and continuously improve field trip classes and educational resources in partnership with the Field Trips Manager, including edits to scaffold activities up and down, modifying existing materials, adding tours to existing classes, aligning formatting with Museum approved branding, and formatting bilingual materials.

  2. Develop and enhance in-gallery experiences, virtual programs, and educational resources for students in Pre-K-12th grade in tandem with the Field Trips Manager.

  3. Train and support Field Trip Facilitators on newly created or edited content for new and existing classes and in-gallery experiences, compiling research materials and conducting research as needed.

  4. Engage in meetings to identify program improvements, address operational challenges, and implement enhancements.

  5. Conduct ongoing research and apply findings to program development and adaptation as assigned.

  6. Maintain field trip class materials including but not limited to: maintaining and organizing digital assets and content, maintaining and organizing physical materials such as worksheets and folders, creating and maintaining systems for resources, repairing and replenishing physical materials, communicating with translation companies and supporting distribution of bilingual content.

Teaching

  1. Teach and facilitate field trip classes, in-gallery experiences, and virtual programming for students in Pre-K-12th grade.

  2. Represent the Field Museum at various field trip promotional and networking events (e.g., STEM nights, Chicago Public Schools and other districts) expanding program visibility.

  3. Responsible for interacting with field trip groups and other programs students throughout the year, including summer.

Data tracking

  1. Record class and facilitation data daily and monitor team daily tracking for consistency and completion.

  2. Record and report attendance numbers monthly, quarterly, and annually to reflect attendance, field trip and class attendance, and other relevant subcategories such as bilingual classes, school type, and grade level.

  3. Synthesize quarterly and annual data into reports for internal and external use, presenting trends to stakeholders as required.

  4. Review evaluation results for field trips and classes and share information with the team.

Other duties as required.

  1. Support other Education programming, including but not limited to: The Grainger Science Hub, Education and Public Programs Volunteer programming, the PlayLab, School Partnerships, Summer Camps, or other Education and Public Programs programming as assigned.

Skills and Qualifications

  1. Bachelor’s Degree in relevant fields of education, science, social science, or other related fields.

  2. Minimum of 3-5 years of experience in formal or informal education settings

  3. Experience with developing and implementing in-person and remote field trip programs that are relevant and responsive to learners’ needs, including inquiry-based experiences for Pre-K-12th grade students and for school communities preferred.

  4. Experience with developing and teaching lessons using the Next Generation Science Standards, C3 Framework for Social Studies Standards, and Common Core required.

  5. Experience with 2-5 years of informal or formal education required.

  6. Experience with Pre-K-12th grade education preferred.

  7. Knowledge of Next Generation Science Standards, C3 Framework for Social Studies Standards, and Common Core required

  8. Expert level ability to welcome, engage, and interact with both individuals and groups of all ages in a fast-paced environment.

  9. Ability to read an audience through formal teaching, stage performance, or equivalent experience.

  10. Ability to have a flexible mindset in response to the unique circumstances of each field trip school and classroom.

  11. Ability to work both independently and on a team to collaboratively develop program ideas.

  12. Ability to independently host and proactively engage with museum visitors of all ages in a friendly and professional manner.

  13. Proficiency in English required, and Spanish proficiency highly preferred (other languages a plus).

  14. Demonstrates the ability to plan field trips and/or events.



Physical Requirements:

  1. Ability to sit, stand, and walk for extended periods (up to 6-8 hours per day) facilitating programs and field trip operations.

  2. Ability to bend, squat, reach, and climb (ladders and step stools) as needed to set up and manage program materials.

  3. Ability to lift and move materials and equipment, typically up to 25 pounds and occasionally up to 50 pounds.

Working Conditions

Supervision Received: Receives general supervision by Field Trips Manager.

Supervision Exercised: The position has no direct supervisory responsibilities.

Work Hours and Shift: Monday through Friday, 8am-4pm with some evening and weekend work required.

Hybrid Eligibility: Not eligible

Location: Field Museum, Chicago

Union Representation: This position is represented by Field Museum Workers’ United, AFSCME Council 31, AFL-CIO.

Salary: $57,500- 60,000
