Administrative Assistant

Department: Institutional Advancement
Location: Chicago, IL

Our Mission: Since the 1893 World Columbian Exposition, our organization has aimed to connect people to the natural environment and human history.

The Administrative Assistant aids the Development Communications Manager in the project management of print and e-communications for Institutional Advancement. This includes, but is not limited to, In The Field, Field Forward Philanthropy Newsletter, The Annual Report To Donors, the Philanthropy Report to Trustees, and the regular member/donor enews.

Duties and Responsibilities:

  • Facilitate rounds of review of communications materials with team members and content experts throughout the Museum.
  • Serve as the main point person for creating and managing member/donor enews and special edition e-newsletters. Includes content creation, facilitating edits with team members, and list management.
  • Organizes copyedits, and fact-checks all written material and serves as a point person for questions regarding the production of communications.
  • Aids with a collection of content assets and sharing of information about communications projects across IA teams.
  • Oversight of IA communications calendar and disseminating information about campaign scheduling.
  • Aids with membership mailings including renewals and acquisitions.
  • Other duties as assigned.

Qualifications:

  • Bachelor's degree is preferred, and an Associates degree or 2+ years of administrative experience is required.
  • Experience with Adobe Creative Cloud and Mailchimp.
  • Proficiency with language and style, including Chicago Manual Style, and working with an in-house style guide.
  • Proficient with copy editing and proofreading.
  • Excellent time management and organization.
  • Experience with project management is preferred.

Pay: $22.50/Hourly
