Payroll Administrator/HR Generalist

What you will do:

As a Payroll Administrator/HR Generalist, you will be responsible for processing bi-weekly payroll for the Museum hourly, salaried staff members and interns, ensuring accurate and timely payroll processing, including maintaining employee files by administering personnel changes into the HRIS system (ADP WorkForce Now) and also assisting with facilitation of new hire orientation, onboarding procedures, training new employees, and other related activities.

This position is hybrid, working both remotely and on-site.

Payroll Administration Duties:

  • Perform payroll data entry bi-weekly for timely payroll processing for over 500 employees and interns
  • Review timesheets, providing oversight by communicating with department directors and/or managers on timekeeping edits and approvals
  • Provide training on timekeeping software (ADP eTime), problem-solving timekeeping issues, and reviewing timekeeping data for accuracy prior to processing payroll
  • Initiate and maintain the accuracy of employee records by manually entering and auditing the HRIS for all employee record changes, including status changes, pay rate changes, new hires, terminations, tax withholdings, and direct deposit information
  • Process necessary documents from payroll and insurance providers to ensure accurate record-keeping and proper deductions
  • Manages pre-tax transportation programs and vendor remittance
  • Perform HRIS reporting, including monthly reporting for senior management
  • Running regular audits of HR data, maintaining all HR databases, reporting issues to be corrected, and designing and maintaining customized HR reports
  • Maintain the integrity and confidentiality of human resource files
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Assist with annual compliance audits and federal filings
  • Support compensation planning; review pay grades for all positions and create & maintain job families
  • Performs benchmarking and completes salary surveys on behalf of the organization

Human Resources Generalist Duties:

  • Administer the new employee onboarding process and facilitation of orientation, providing a welcoming and inclusive experience
  • Answer frequently asked questions from new hires and employees, relative to standard policies, benefits, hiring processes, etc.; refer more complex questions to the appropriate senior-level staff member
  • Maintain and develop employee policies, keep abreast of regulatory changes, and ensure compliance
  • Support monthly budget reconciliation, invoice processing, and expense tracking for the Human Resources department
  • Manages verifications of employment
  • Serve as backup for conducting exit interviews
  • Assist in annual compliance training administration
  • Assist in event planning and administration for internal HR organized events
  • Provide excellent customer service, internal and external
  • Perform other duties as assigned

Qualifications and Working Conditions:

  • 3+ years in payroll administration within an HRIS system, preferably ADP Workforce Now.
  • 2+ years of experience in general HR.
  • Bachelor’s Degree in Human Resources, nice to have PHR or SHRM-CP
  • Proficient with or the ability to quickly learn human resource information systems (HRIS), and similar computer applications; ADP experience preferred
  • Advanced with spreadsheets (Excel and Google) and data analysis and manipulation
  • Experience with a collective bargaining agreement preferred
  • Proficient with Microsoft Word, Excel, PowerPoint, and/or Google Workspace
  • General knowledge of human resource principles, practices, and procedures

Pay Range:$52,500- $56,500
